Preparation workflow

Keep extraction review separate from accounting import

A reviewed source CSV gives you a stable checkpoint before QuickBooks-specific column mapping.

    Convert the statement PDF

    Extract the transaction table from a U.S. bank statement PDF without connecting an online banking account.

    Review the financial rows

    Correct dates, descriptions, debit and credit direction, signed amounts, and available running balances.

    Download a clean source CSV

    Keep a reviewed generic CSV as the source file before removing audit-only columns or changing the layout.

    Map a separate import copy

    Match the accepted columns shown by the current QuickBooks import screen and import a copy of the reviewed file.

Separate import fields from review fields

Keep the complete generic export for audit and reconciliation. Build the QuickBooks import copy only after choosing the column layout offered by your current import screen.

Before import

Checks that reduce duplicate or reversed transactions

Extraction quality and import quality are separate checks. Complete both before reconciliation.

Use an import copy

Preserve the complete reviewed CSV and make QuickBooks-specific column changes in a duplicate file.

Check duplicate dates and amounts

Compare the import preview with existing bank-feed transactions so the same activity is not added twice.

Confirm amount direction

A reversed debit or credit can create a valid-looking row with the wrong accounting effect.

Reconcile before categorizing

Verify the statement period and ending balance before applying categories, rules, or reconciliation inside QuickBooks.

FAQ

What this workflow does and does not do

Review the generic export before changing it for any accounting import.

Does this page connect directly to QuickBooks?

No. There is no QuickBooks OAuth connection. The current workflow extracts and reviews transactions, then downloads generic CSV for manual import mapping.

Does the converter create QBO or OFX files?

Not yet. The current exports are generic CSV and Excel. Do not rename a CSV file to QBO or OFX because that does not create a valid accounting file.

Which columns should I import?

QuickBooks import options can vary by product, region, and workflow. Use the date, description, and either signed amount or separate debit and credit columns that match the import screen you are using.

Why keep balance and confidence columns?

They are useful during review. Running balance, confidence, and source page make extraction errors easier to find even when those columns are removed from the final import copy.

Are uploaded statements retained?

The source PDF is processed temporarily and deleted after conversion by default. Structured result data expires after 24 hours, and optional seven-day sample retention is off by default.
